SUMMERSVILLE LAKE RETREAT & LIGHTHOUSE POLICIES

Welcome to the Retreat!  These rules and regulations were established to maintain high standards of cleanliness, safety, and maintenance, and to maximize the enjoyment of your time at Summersville Lake Retreat.  Enjoy!

All guests must follow the rules and regulations of the park.  Decisions of any staff member are final pertaining to noise, campfires and other infringements of the campground rules or unsafe acts/conditions.  Disrespect of authority, property or other guests is grounds for camper removal. Summersville Lake Retreat reserves the right to amend rules at any time.
ARRIVAL AND DEPARTURE INFORMATION
Summersville Lake Retreat has an entry gatehouse and requires a gate code for entry.   Cabins have coded entry locks.   Prior to your reservation you will receive an email with our terms and conditions and the information and instructions on how to access the property.  Please accept the terms and conditions or you will not have access to our property.   Our staff is available by phone at 304-872-5975 to assist with your arrival during normal business hours of 9:00am to 6:00pm.   After hours we have camp hosts on the property at all times.   After hours contact information is listed on your vehicle hang tag, at the store and gatehouse, and in other common areas .
CHECK IN  Our Check-in time is 2:00pm or later for campsites and 4:00pm or later for cabins.   This allows for site maintenance and preparation prior to your arrival.   Early check-in may be available if arranged at least 24 hours in advance.   If you will check-in after 6:00pm your welcome packet will be available in the arrivals box at the entry gatehouse.   Please try and arrive prior to dark so as not to disturb other campers.
 If you need to make special arrangements or require other assistance with check-in please call during normal business hours and we will do our best to accommodate you.  

CHECK OUT  Our check-out time is 11:00am for cabins and 12:00 noon campsites.  If you check out before 9:00am you can just drop your parking pass in the departures box at the entry gatehouse to let us know you have left.   
Let us know in advance if you will be checking out of your campsite late.  To make sure we can prepare for incoming guests, late check-outs from campsites will be charged $25.00 per hour up until 3:00pm when a full additional night will be charged.  Due to high demand and the time required to prepare them for the next guest, we do not allow late check-outs from our cabins.  Cabin guests who do not vacate on time will be charged for an additional night.    

GENERAL FACILITY USE INFORMATION

ACCESSIBILITY  We have ADA accessible bathrooms on site, and an ADA accessible cabin. Please call for additional information or with special requests.

AFTER-HOURS ASSISTANCE  For Emergencies, call 911. For urgent, immediate needs (plumbing issues, dangerous situations, unit access problems, etc.) between 6:00 PM and 9:00 AM, call the After Hours Assistance number which was included in your check in email, is listed on all cabin front doors, and is posted at all public areas.

ALCOHOLIC BEVERAGES  All state/federal laws apply. Alcoholic beverage consumption is restricted to those 21 or older. Drink responsibly.

BOAT STORAGE   Boat or boat trailer storage is offered to our guests for the duration of their stay, in the front field along the front inside fence.  We do not charge our guests for this but ask that you park in the designated boat parking area and not at your campsite so you don’t disturb your neighbors.   You can temporarily take your boats through the campgrounds to load or unload them.   Boats can not go back to the luxury cabin area as there is not sufficient space to turn around. 
  
BICYCLES  No bicycle may be ridden in the campground after dark, unless it is equipped with lights on both front and rear and the lights are turned on while bike is being ridden. WV State Law requires that all children under the age of 15 years of age must wear helmets when riding their bicycles. 

CAMPFIRES  Controlled campfires are encouraged and permitted in designated fire pits. Fires must be supervised while burning and then fully extinguished.  Only firewood purchased on site should be burned.  Do not cut live trees for firewood or burn trash.  Refer to the firewood section for further instruction.

CHANGES TO THIS POLICY  Summersville Lake Retreat reserves the right to update Rules and Regulations at any time.  Any situation not directly covered by the rules will be addressed by a staff member.

CHILDREN  Children are welcome! Children should be directly supervised by an adult at all times and must be accompanied when away from your campsite or cabin. Parents/guardians are responsible for their children’s safety and behavior.

COMFORT STATION  Restroom and shower facilities are available on site. Due to Board of Health Regulations, animals are prohibited in the restrooms. The washing of any equipment, pets, clothing, cooking utensils, tableware, flatware, or any other cooking or eating paraphernalia is prohibited in comfort stations, bathhouses and washrooms. Please use outside utility sink or perform said duties at your campsite.  A sink for washing dishes is available outside the Comfort Station.   Please help us keep the restrooms and bathhouses clean and ready to use by others by picking up after yourself.  If there is water in the floor after your shower, please clean up after yourself.  Young children are not allowed in the restrooms or laundry without an adult present.
  
CONSTRUCTION/MAINTENANCE  Certain sites and areas of the property may be closed for landscaping and maintenance throughout the season. For your safety, please respect all areas blocked off with cones, caution tape, or other restricted access markings.

DISCOUNTS  SLR does offer a variety of travel, promotional, and package discounts.   As these change from time to time we keep a list of all current offers on our main booking page.   Simply click the BOOK NOW button from our website and scroll to the bottom of that first page to see what we are offering.   Discounts cannot be used in conjunction with any other discount or promotion. 
FIREWOOD   Firewood cannot be transported into or used in this facility that has not been acquired at Summersville Lake Retreat, through either purchase or collection per recommendation of the West Virginia Division of Forestry. This greatly reduces the spread of forest diseases and insects and helps protect the park’s woodlands. Please help us in this preservation effort by adhering to the common sense rule.  Trimming of live trees, branches, and other native areas is prohibited.   Do not burn any firewood that does not completely fit within your fire ring. 

FIREWORKS  Fireworks are prohibited on the Summersville Lake Retreat property.

GARBAGE  We strive to keep our grounds as clean as possible.  Help us by depositing your garbage and pet waste in the trash and recycling bins located throughout the property. Please do not burn trash, and please do not leave trash unattended outside on sites.
GRILLS  Propane grills are provided with cabins. Fire cooking is permitted in provided fire pits.  Personal charcoal and propane grills are permitted.  Please use responsibly.

INTERNET: Our internet provider has limits to service to our region although they keep telling us we will get an upgrade in the near future.   The connection can be spotty especially with heavier use.   We provide access free of charge to allow our guests to look up local attractions, check email and perform basic tasks. Use of streaming video (i.e. YouTube, etc) and/or heavy downloads will exhaust our bandwidth resulting in this service being severely limited. Please be considerate of this type of usage.   Our Wifi works best the closer you are to the entrance gate and weakens as you get closer to the tent sites, and wooded area.

LAUNDRY Laundry facilities are not available on site but there is a public laundry in Summersville.

MOTORIZED TRANSPORTATION  ATV’s, UTV’s, Motorized Scooters, off road motorcycles, gas bicycles, and motorized skateboards/hoverboards are not permitted to be operated on the property. Electric golf carts are permitted for day use only by licensed drivers who must be able to provide proof of insurance. Please ride at safe speeds, stay on our roads only and operate only during daylight hours.

OCCUPANCY   All of our cabins, RV and tent sites are priced based on a 2 person occupancy.   Additional guests and pets are allowed at an additional charge up the max occupancy per facility.   We are required to track our occupancy at all times so all guests must be registered.    Our luxury chalet cabins, RV sites and tent sites have a 6 person max occupancy with the exception of cabins 4 and 5 which have a max occupancy of 8 people.   Our tiny cabins, and farmhouse and barn cabins have 4 person max occupancies.  Vintage camper rentals have 2 max occupancies or as noted on the booking page.   Visitors and unregistered guests are not permitted to stay overnight.

PARKING  Limit of two automobiles per site (RVs may have one towed or towing vehicle, plus one additional car).  Tiny cabins and vintage RV rentals have a max of one vehicle.   Vehicles inside the gates must display the provided parking tag.  Vehicles without proper tags are subject to towing at owner’s expense. Vehicles must not block roads and must be in designated parking areas.  If you have additional vehicles please contact the office and we can help direct you to a place to park them.   Motorcycles are permitted in the park as long as you can fit them in your designated site parking area.  Trailered boats must be parked in the boat parking area at the front of the campgrounds.   The speed limit is 5 MPH and must be obeyed within the Retreat’s boundaries at all times.

PAYMENT   A Visa, Discover, Mastercard, or American Express number is required for each reservation.  All reservations require payment in full.  See our cancellation policy for refund information.

PETS  We love dogs and welcome your pet to stay with us!  To insure all of our guests enjoyment we do not allow aggressive, uncontrolled, or constantly barking dogs on the property.   Please make sure your dogs are well-mannered and under your control at all times for the safety of our other guests and their pets.   For all sites there is a limit of two dogs per site.   All dogs must be kept on a leash (not to exceed six feet) unless in the dog park or inside your unit.  Animal waste must be picked up by the pet owner.   Owners will be asked to remove aggressive, uncontrolled, or constantly barking dogs from the property.  If your dog is going to be left alone for a short time please insure that it is safe in your RV or tent and please notify us so we know they are there in case of an emergency.  We have dog crates available if you need one.  We want you and your pet to have a memorable stay with us so we ask you to follow these simple rules.   Please let us know if there is anything we can help with to make your pets stay with us more enjoyable.   

PHOTOGRAPHY  Summersville Lake Retreat uses video surveillance for the security and protection of our guests.  We also use on-site candid photography for advertisements and promotions. Entrance onto this property constitutes permission to be photographed while on the premises and for any resulting photos to be used by Summersville Lake Retreat for lawful purposes without compensation or notification to the guest.

REGISTERED GUESTS  The registered guest responsible for the unit/site must be at least 18 years of age to reserve and rent a campsite and 25 years or older for cabins.   The person making the reservation must have a valid government issued photo identification.  The primary renter of the site is responsible for the actions and safety of the registered guests and visitors of the campsite and will be liable for any actions of or damages caused by these guests or visitors. Camping in any manner other than in assigned numbered site is prohibited. All camping equipment and associated materials must be located within the confines of the assigned site. Campground sites and facilities are provided for the exclusive use of the registered campers. 

QUIET HOURS  Our quiet hours are from 10:00pm until 8:00am.  No loud music, generators, excessive noise, or bright exterior lighting may be operated during quiet hours. The playground closes at 9:00pm or dusk, whichever comes first. Children must return to your campsite during quiet hours.  No visitors during quiet hours. 

RIGHT TO REFUSE/EVICT/DENY ACCESS  Summersville Lake Retreat is privately owned. Management and staff is on site at all times and reserves the right to refuse services, evict or deny access to anyone, under any circumstances deemed necessary, in accordance with applicable local, state and federal laws. There will be no refunds.  We will not tolerate any onerous, noxious or offensive activity of any sort that could interrupt or adversely affect the enjoyment of other parties utilizing the Retreat.

SEASONAL MINIMUMS and MAXIMUMS  We require a minimum numbers of nights to be reserved based on the following schedule:   May thru October – 2 night minimum on weekends.   Off peak holidays – 2 night minimum (Thanksgiving, Christmas, New Year’s Eve, Valentines Day, Easter) ~  In Peak holidays – 3 night minimum (Memorial Day, July 4th, Labor Day, Bridge Day).  We have a maximum stay limit of 30 consecutive days.   

SECURITY DEPOSITS   We no longer charge an upfront security deposit for cabins or our rental units but you are responsible for any damage to real or personal property caused by you or your guests.  You may also be charged for any intentional damage, theft, excessive cleaning, unintentional and incidental damage or pet damage.  We appreciate honesty and communication and will take that into consideration for any issues that you make us aware of before your departure.   
 
SITE GUARANTEES   Your Site # is subject to change prior to arrival, unless a site lock fee was paid during the time of booking.   We reserve the right to modify site assignments based on a variety of factors, including but not limited to, occupancy levels, mechanical issues, weather and maintenance needs.   Your specific site information will be sent to you via your preferred communication method (email or text) prior to your arrival.  

SMOKING Absolutely No Smoking, Vaping, Tobacco Use, Etc. in any buildings or structures on Summersville Lake Retreat property.  Do not throw cigarette butts on the ground or in your fire rings.  We have to clean them up and they are disgusting.  Use an ashtray and dispose of them properly.  

TENTS:  Primitive sites may have up to two tents per site. RV sites may have one tent per site. Cabins may not have tents on sites.

THEFT AND LOSS  Campers are responsible for securing their personal property, including, but not limited to, their campers and contents, vehicles, boats, tents, or any other personal property. The campground, its owner, agents, and employees are not responsible or liable for theft or loss of any kind, nor damage caused by acts of God, fires, floods, windstorms, explosions, lightning strikes, accidents, or vandalism. Campers are responsible for maintaining insurance on their campers, vehicles, and personal property.

TRAVEL INSURANCE  We do recommend protecting your trip with a travel insurance company in case of inclement weather or any illnesses that might arise. VISITOR POLICY All persons not registered to site are considered visitors.  They must register at the office or gatehouse during business hours and receive a guest pass before entering the park.  We no longer charge for guests however they must register prior to entry and they must depart prior to 10:00pm or you will be charged for an additional overnight guest. 

WASHING RVS AND CARS  RVs and cars may not be washed or rinsed on property. There are places in Summersville to wash your vehicles.  

WEAPONS   Unholstered handguns or other uncased weapons, including rifles, shotguns, and bows and arrows are prohibited at Summersville Lake Retreat.  Please keep all cased weapons locked in your vehicle.   No explosive materials or other dangerous substances are permitted. Discharging of any type of firearm or weapon, including pellet, BB, firearms, and Paint Ball is prohibited.
   
WILDLIFE  Wildlife is abundant in the area and frequently can be seen from your campsite.   Wild animals should not be approached or fed within the Retreat boundaries.  Care should be used in the disposal of food and garbage to avoid wildlife encounters.

WAIVER AND INDEMNITY OF LIABILITY  Customer shall indemnify and hold Summersville Lake Retreat and it’s owners and employees harmless from and against any and all claims, demands, costs and expenses, including reasonable attorney’s fees, arising from any and all damages or injuries caused by fire, water, wind, civil strife, or acts of God, owner and / or customer actions or inactions (or those of their employees, agents, or invitees), or any other related to Customer’s use or occupation of the campsite, cabin, or rental unit, regardless of whether such loss was caused by the negligence of any of the customer’s parties.

AS A GUEST OF SUMMERSVILLE LAKE RETREAT, I FULLY UNDERSTAND AND ACCEPT THESE RULES.
By making a reservation, Guest hereby waives, releases and discharges and covenants not to hold liable 4 Dog Resort, Inc dba Summersville Lake Retreat & Lighthouse (hereafter referred to as “SLR”)  for any and all claims and liability for personal injury, accidents, property damage, any other claim arising out of or in connection with Guests’ use of the Rental/Property. Further, Guest agrees to defend, indemnify and hold harmless SLR from all losses, claims, expenses and demands, including attorneys’ fees, that SLR may incur arising out of or in connection with Guests’ use of the Rental/Property. Guest further agrees to be fully responsible and liable for the actions and safety of every person in their group.
